Reservations

To reserve rental equipment, Icon AV may request your full name or organization name, phone number, alternate contact, valid identification, pickup or delivery timing, return timing, payment information, and event location details.

Equipment Reliability

Icon AV inspects and tests equipment before and after rentals. Equipment issues must be reported immediately so the team can troubleshoot, dispatch support, or determine whether an adjustment is appropriate.

Delivery, Setup and Breakdown

Delivery, setup, on-site technical support, and breakdown are available when requested and scoped before the rental date. Delivery and labor pricing depends on location, equipment, venue access, schedule, and staffing requirements.

Returns and Extensions

Rental periods and return expectations are confirmed in the project scope or rental agreement. Late returns, unauthorized extensions, missing items, or damaged equipment may result in additional charges.

Payment and Tax Exemption

Payment terms depend on account status and project scope. Tax-exempt organizations should provide tax-exempt documentation before payment processing.

Cancellations

Cancellation terms may vary based on the equipment, labor, reservation timing, and project scope. Confirmed equipment and labor are removed from availability, so cancellation fees may apply.

Equipment Lease Terms

Rented equipment remains the property of Icon AV. Clients and renters are responsible for using equipment properly, keeping it secure, returning it as agreed, and covering loss or damage while it is in their custody unless otherwise stated in a written agreement.
